Remember that:- all supplementary activities must be approved- any absence must be communicated to the Coordinator- absences of more than 30 consecutive days lead to the interruption of any scholarship payment - unexplained and prolonged absences can provide the loss of the PhD student status.

How to add the PhD Calendar

PhD Offices

two offices are available in the Santa Chiara Building. Office E06.P2.31 and Office E06.P2.33.Rules to use them:1) you need the Green pass to enter the building2) fill this form: https://www.unibs.it/sites/default/files/2021-03/Autocertificazione%20accesso%20esterni.pdfand leave it at the entrance of the building3) always use a surgical mask in the offices and in the building4) always keep the right distance5) frequently clean your hands6) if you are the first PhD student using the office, please print the following attendance register https://drive.google.com/file/d/1Zb71tvqw9top2cKk6t6wN4_P0tVbj09L/view?usp=sharing,sign it and leave it available to the other PhD students attending the office. Otherwise, just sign it. If you are the last PhD student leaving the office, please put it in the mailbox of the Coordinator.

Additional courses require:

an email sent by the Tutor to the Coordinator to state that this activity is related to your research project.

Online conferences, workshops and schools require:

1) an email sent by the Tutor to the Coordinator to state that this activity is related to your research project 2) to fill the form available at https://unibsit.sharepoint.com/:w:/r/sites/dem/Acquisti/Richiesta%20acquisto%20cassa%20economale%20-%20DEM_0.docx?d=we4d3d08be27c447496963853592770ed&csf=1&web=1&e=t4tXo8This form must be:- signed by the Coordinator- delivered to the Segreteria amministrativa of the Department (via S. Faustino, 74).Note that the payment can be done ONLY by the Administative office.Please DO NOT PAY IN ADVANCE. Otherwise, there will be no refund.

Conferences, workshops, schools require:

1) an email sent by the Tutor to the Coordinator to state that this activity is related to your research project2) to fill the form available at https://unibsit.sharepoint.com/:b:/r/sites/dem/Missioni/Missione%20DEM.pdf?csf=1&web=1&e=eNwctUThis form must be:- signed by the Coordinator- delivered to the Segreteria amministrativa of the Department (via S. Faustino, 74).3) if the conference or workshop is outside Italy, to fill the form available at the following link depending on the fact that you have a scholarship or not:with scholarship without scholarship This form must be:- signed by the Coordinator- delivered to the Ufficio Dottorati (via S. Faustino, 74).4) a Certificate of attendance provided by the organizers of the conference/workshop/schoolIf you have a grant supporting the attendance of the conference/workshop/school, you also need:1) all receipts in original (boarding passes included)2) when you are back, to fill the form available at https://unibsit.sharepoint.com/:b:/r/sites/dem/Missioni/Modulo%20Rimborso%20Missione.pdf?csf=1&web=1&e=b9fyePwith the receipts in attachment. This form must be delivered to the Segreteria amministrativa of the Department (via S. Faustino, 74).

Visiting periods require:

1) a formal letter of invitation by the external institution2) an email sent by the Tutor to the Coordinator to state that this activity is related to your research project2) to fill the form available at https://unibsit.sharepoint.com/:b:/r/sites/dem/Missioni/Missione%20DEM.pdf?csf=1&web=1&e=eNwctUThis form must be: - signed by the Coordinator - delivered to the Segreteria amministrativa of the Department (via S. Faustino, 74)3) if the external institution is outside Italy, to fill the form available at the following link depending on the fact that you have a scholarship or not:with scholarship without scholarship This form must be:- signed by the Coordinator (if the visiting period is less than 6 months) or approved by the Scientific board for longer visiting periods- delivered to the Ufficio Dottorati (via S. Faustino, 74).4) a formal declaration provided by the external institution at the end of the visiting period If you have a grant supporting the visiting period, you also need:1) all receipts in original (boarding passes included)2) when you are back, to fill the form available at https://unibsit.sharepoint.com/:b:/r/sites/dem/Missioni/Modulo%20Rimborso%20Missione.pdf?csf=1&web=1&e=b9fyePwith the receipts in attachment. This form must be delivered to the Segreteria amministrativa of the Department (via S. Faustino, 74).

Funds to support research activity

Each PhD student, with exception of the PhD students doing a "Dottorato industriale", has a fund of 1535 euros for the second year and 1535 euros for the third year, that can be used to support research activities (for example, to attend conferences, summer schools, ...). The amount you do not use in the second year can be used in the third year. You need:1) an email sent from your Tutor to the Coordinator, to approve that the activity you propose is useful for your research project2) to apply (please ask to Segreteria amministrativa of the Department, via S. Faustino, 74).
